Configure Optimails on your email client or multifunction printer

Overview

Optimails is compatible with all standard email clients (Outlook, Apple Mail, Thunderbird, etc.) as well as multifunction printers for sending scanned documents by email (scan-to-mail).

The configuration relies on IMAPS (incoming mail) and SMTPS (outgoing mail) protocols, with mandatory SSL/TLS encryption.

Configuration on a Multifunction Printer (Scan-to-Mail)

📠 Good news for administrators: Optimails licenses natively include SMTP authentication and outbound email protection, with the ability to configure a dedicated SMTP hostname directly on your device.

This allows your multifunction printer to operate as an authenticated SMTP relay without requiring intermediary infrastructure.


Settings to Configure on the Printer

Display Name / Sender Full email address of the account

The multifunction printer must support STARTTLS or SSL.
Verify this requirement in the manufacturer's documentation before configuration.


Limitations for Multifunction Printers

These limits apply per Optimails mailbox used as the sender account:

Maximum recipients per email 50
Maximum emails per mailbox / 24h 300

These limits are suitable for standard scan-to-mail usage.
